VeriFactu: the new system to guarantee the traceability and authenticity of invoices is now here

The Tax Agency has taken a decisive step in the fight against tax fraud with the introduction of VeriFactu, a system that transforms the way invoices created by computer systems are issued and controlled. We are in the final stretch, the transitional period begins next July 29th and, as a customer of our solutions, we want you to have all the information so that you are prepared.

What is VeriFactu and why is it relevant?

VeriFactu is a set of requirements that invoicing information systems (SIF) must incorporate in accordance with the regulations of the Anti-Fraud Law. Its purpose is to guarantee that invoices are authentic, unalterable and easily verifiable, ensuring greater tax control and promoting the digitalization of the business fabric.

This mechanism allows each invoice issued to generate an automatic and unalterable record, thus offering guarantees of traceability and regulatory compliance. For invoicing software to be considered legal by the Tax Agency, it must include this system.

When does the regulation come into force?

The obligatory use of an adapted software becomes mandatory on the following dates:

  • January 1, 2026 for companies
  • July 1, 2026 for self-employed workers

However, the Tax Agency establishes that manufacturers and distributors market the adapted software to new clients from July 29, 2025, so the entry into force is brought forward to this date for this new group. Therefore, regardless of whether you are a company or self-employed, if you acquire a new invoicing system after July 29, 2025, it must be adapted.

For those of you who already have an invoicing system or for those who contract it before July 29, 2025, it is not necessary to update to the new adapted version until the previously mentioned dates of 2026. What we do recommend is that you make sure that your current billing system will have the adapted version and the corresponding responsible declaration, for your peace of mind.

On the other hand, it is highly recommended not to leave the update to the last day, to avoid last-minute problems. We suggest that, starting July 29, you take advantage of the transitional period to plan the upgrade to the adapted version.

Exceptions

There are certain cases that are outside the obligation:

  • Taxpayers already using the Immediate Information Supply (SII).
  • Companies in the territories of the Autonomous Communities with their own regulations.
  • Subjects not obliged to issue invoices.

If your company is in one of these situations, VeriFactu does not affect you.

The use of a digital certificate is required. In this regard, the Tax Agency allows the same manufacturer of the invoicing solution to provide its own digital certificate, with the prior consent of the invoice issuer. This is the safest option, since it avoids the customer of the solution to manage his certificate, to worry about its renewal upon expiration, and avoids problems derived from a possible security breach that could occur when exposing his certificate on the Internet.
